Key Responsibilities

Position Overview

The Remote Legal Assistant will support attorneys with legal administration, matter coordination, document management, scheduling, and day-to-day operational responsibilities.

This role requires someone who can manage multiple priorities, follow established procedures, anticipate attorney needs, and communicate professionally with clients and internal stakeholders. The Legal Assistant must be able to distinguish between routine administrative matters and issues that require immediate attorney attention.

Although onboarding will be provided for the firm’s internal procedures and systems, candidates must already possess relevant legal experience and a practical understanding of how attorneys and legal teams operate.

This is a legal support position and does not authorize the Legal Assistant to provide legal advice, make legal determinations, or perform activities that require a licensed attorney.

Key Responsibilities

  • Legal Support

    • Open, organize, maintain, and close electronic legal matters and case files

    • Prepare initial drafts of routine legal correspondence, transactional documents, notices, summaries, and other materials using approved templates and attorney instructions

    • Proofread legal documents for accuracy, formatting, grammar, names, dates, consistency, and completeness

    • Review and organize contracts, matter materials, exhibits, evidence, and supporting documents for attorney review

    • Prepare summaries of meetings, calls, documents, timelines, and matter developments

    • Assist with contract administration, document production, transaction support, and pre-litigation preparation (if any) as assigned

    • Track outstanding documents, signatures, approvals, responses, and next steps, escalating concerns when necessary

  • Calendar, Deadline, and Administrative Support

    • Manage attorney calendars and coordinate consultations, client calls, internal and external meetings, and other appointments

    • Monitor any internal or external deadlines, contractual dates, follow-up commitments, and internal deliverables

    • Identify scheduling conflicts and maintain reliable reminder and follow-up systems

    • Manage attorney inboxes by organizing messages, identifying priorities, drafting routine responses, and flagging matters requiring attorney attention

    • Prepare meeting agendas, organize relevant materials, take notes, and document action items

    • Coordinate with attorneys, clients, vendors, consultants, and other stakeholders across multiple countries and time zones

    • Assist with database updates, reporting, billing support, expense tracking, and general legal administration

  • Client Support and Communication

    • Serve as a professional support for attorneys across all client emails.

    • Support in additional communication with clients via chats as instructed by the attorney. 

    • Conduct structured client recap conversations, collect necessary information, and enter accurate details pertaining to matter updates into Monday.com

    • Schedule attorney’s meetings and provide confirmations, reminders, and documents to attorney upon preparation for such meetings. 

    • Follow up regarding missing information, documents, signatures, payments, or next steps internally or externally (as instructed by attorney)

    • Provide routine status updates within approved guidelines and route legal, urgent, or sensitive questions to the appropriate attorney

    • Maintain professional, discreet, and culturally aware communication in both English and Spanish

  • Document and Workflow Management

    • Maintain accurate and organized electronic records for clients, matters, contracts, correspondence, and supporting documentation via email and Monday.com

    • Upload, categorize, retrieve, and archive files using Dropbox, Google Drive, and other company approved systems

    • Follow established file naming, document version control, confidentiality, and data protection procedures.

    • Keep Monday.com and other workflow systems updated with current matter information, tasks, deadlines, notes, and next steps

    • Identify incomplete or incorrectly filed records and coordinate the necessary corrections

    • Help improve templates, checklists, workflows, and standard operating procedures

Required Qualifications

  • 2+ years of relevant experience as a Legal Assistant, Legal Secretary, Paralegal Assistant, Case Assistant, or in a comparable legal support position

  • Previous experience directly supporting attorneys, law firms, corporate legal departments, or legal service providers

  • Practical knowledge of legal terminology, legal documents, client confidentiality, matter management, and law firm procedures

  • Experience with legal document preparation, proofreading, client intake, case-file organization, calendar management, and deadline tracking

  • Advanced professional English proficiency, C1 or higher, with excellent written and verbal communication skills

  • Native or fully fluent English and Spanish proficiency

  • Strong organizational skills, attention to detail, and ability to manage multiple matters and competing priorities

  • Ability to follow detailed instructions, templates, workflows, and confidentiality procedures

  • Proven ability to work independently, remain accountable, and communicate proactively in a remote environment

  • Proficiency with Google Workspace and experience using Dropbox or a comparable document management platform

  • Experience with Monday.com, a legal CRM such as Clio Manage, case management software, or another workflow management system

  • Availability to work full-time during established U.S. business hours with Central Standard Time or Eastern Time overlap

  • Fluent English and Spanish, written and spoken. You'll be drafting emails in my voice and calling Spanish-speaking clinics, government offices and vendors in the same day. Written English is tested — a lot of this job is writing.

  • You live in Argentina, Uruguay, Chile, Paraguay or Venezuela, or elsewhere in South America with a genuine willingness to start your day at 07:00–09:00 local. I work across UTC+2 to UTC+4. Your morning is my afternoon — that overlap is the whole point.

  • AI-literate, with judgment. You use Claude or ChatGPT daily to draft, research, summarise and structure. You also know when the model is wrong, when it's guessing, and when a phone call gets the answer faster. I don't want AI output pasted at me. I want your thinking, accelerated by AI.

  • Comfortable on the phone. A significant part of this job is calling people who haven't replied to email.

  • Contactable references from the executives you supported, who I will call.

What actually makes someone good at this

  • You chase. If someone said "Monday", you have a reminder set for Monday morning and you follow up Monday morning.

  • You escalate fast and unprompted. If something has gone wrong, I hear it from you within the hour — not from an email I stumble across three days later.

  • You come with options and a recommendation, not an open question.

  • You anticipate the next blocker and ask about it in the same call, so we're not chasing the same vendor four times.

  • You keep the system current without being told. Tasks have status, notes, subtasks and dates — not a link and a shrug.

  • You say "I don't know yet, here's what I'm doing to find out" rather than going quiet.

Honest notes about this role

The workload is uneven. Some weeks are 90 minutes a day. Others are relentless — a property purchase, an international move and a family medical situation at once. You're paid a flat retainer for the quiet weeks and overtime for the heavy ones. If unpredictability stresses you, this isn't the right fit.

I give direct feedback, quickly. If something isn't working I'll say so plainly and expect it fixed. Equally, I'll tell you when something's been done well, and I back my people.

I need reliability more than brilliance. Life happens and I'm reasonable about it — but I need to know early, and I need a handover so nothing stalls. The single fastest way to lose this role is to go quiet.

Discretion is absolute. You'll see medical records, bank details, contracts and family matters. NDA on day one.

Terms

  • Salary — USD 1,000–1,400 per month depending on experience, paid in USD

  • Hours — approximately 20 per week (around 4 a day, Monday to Friday), core overlap 07:00–11:00 your time

  • Overtime — paid hourly above 90 hours a month, agreed in advance

  • Contract — independent contractor, 3-month probation, reviewed at 6 and 12 months

  • Time off — 20 days paid annual leave plus local public holidays, planned in advance

  • Equipment — must have good working laptop - responsible for own hardware - and paid AI and software subscriptions provided

  • Growth — scope and hours can grow. I'd like this to become a full-time chief-of-staff role over time for the right person.

Tools: ClickUp, Google Workspace, Claude, Loom, WhatsApp Business, Wise, 1Password. You don't need to know all of these on day one, but you need to be the kind of person who learns a tool properly rather than using 10% of it.

Responsabilidades

- Planificar, crear y programar contenido para redes sociales siguiendo la estrategia existente.

- Experiencia utilizando Canva y herramientas de programación de contenido.
- Conocimientos de branding, crecimiento de audiencias y estrategias de generación de leads.
- Experiencia analizando métricas de redes sociales y realizando recomendaciones basadas en datos.
- Se valorará experiencia con plataformas de publicidad paga (Meta Ads u otras similares).

Compensación

Compensación para este puesto: USD 600–800 por mes. Este rango de compensación refleja las responsabilidades y requisitos del puesto. La compensación final se determinará en función de la experiencia relevante del candidato, la cantidad final de horas acordadas, el nivel de inglés, las habilidades técnicas y las calificaciones generales.

Buscamos un/a Asistente Administrativo Dental Bilingüe para brindar soporte remoto administrativo y atención a pacientes para una clínica dental ubicada en Estados Unidos.
Este rol combina comunicación con pacientes, coordinación de citas, verificación de seguros, seguimiento de reclamos y tareas administrativas propias de una clínica dental. La persona seleccionada se comunicará directamente con pacientes tanto en inglés como en español, ayudará a mantener la agenda completa y organizada, mantendrá actualizada la información de pacientes y seguros, y brindará soporte continuo en tareas administrativas y relacionadas con seguros.
El perfil ideal cuenta con experiencia previa utilizando software de gestión para clínicas dentales, se siente cómodo comunicándose con pacientes por teléfono y puede gestionar de manera independiente responsabilidades administrativas recurrentes, con precisión y seguimiento constante.
Responsabilidades

  • Atender llamadas entrantes de pacientes y realizar llamadas salientes en inglés y español.
  • Agendar, confirmar y gestionar citas de pacientes.
  • Contactar pacientes para recall, reactivación, tratamientos pendientes y citas perdidas.
  • Ayudar a cubrir espacios disponibles en la agenda generados por cancelaciones.
  • Verificar la elegibilidad del seguro dental y obtener información detallada sobre beneficios y cobertura.
  • Ingresar y actualizar con precisión la información de pacientes, seguros y citas en el sistema de gestión de la clínica.
  • Realizar seguimiento de reclamos pendientes o rechazados y cuentas de seguros pendientes (insurance aging).

  • Responder mensajes de voz, mensajes de texto y otras tareas administrativas asignadas.
  • Derivar preguntas clínicas o situaciones sensibles de pacientes al equipo de la clínica cuando corresponda.
  • Preparar un breve reporte al final del día con las tareas completadas y los asuntos que continúen pendientes.

Requisitos

  • Nivel de inglés avanzado, con excelentes habilidades de comunicación oral y escrita.
  • Español fluido y capacidad para comunicarse profesionalmente con pacientes hispanohablantes.
  • Nivel Semi-Senior, con capacidad para gestionar responsabilidades recurrentes y seguimientos de manera independiente.
  • Experiencia previa utilizando software de gestión para clínicas dentales — requisito.
