Position Overview:


We are seeking a highly proactive, detail-oriented, and experienced Travel Advisor to join one of our premier travel partner companies specializing in exclusive, luxury travel. As the Travel Advisor, you will be directly responsible for overseeing the flawless execution of the trip planning process from start to finish. This role involves coordinating travel plans, ensuring client satisfaction, and handling various administrative and operational tasks to guarantee seamless and memorable travel experiences for our esteemed clientele.


Key Responsibilities:


Trip Planning and Management:

  • Plan and manage all aspects of trips, including coordinating with vendors and suppliers such as hotels, tour guides, airlines, and other service providers.
  • Tailor trips to meet the unique preferences and needs of each client, providing personalized and luxurious travel experiences.
  • Design and curate bespoke travel itineraries that include exclusive experiences, luxury accommodations, and unique activities.
  • Draft detailed itineraries in the Axus platform to ensure comprehensive and seamless travel plans.
  • Monitor trip progress, address potential issues, and adjust plans as necessary to ensure client satisfaction.
  • Ensure all travel arrangements align with the client’s preferences and needs, providing a personalized and luxurious travel experience.


Client Interaction and Support:

  • Serve as clients' primary point of contact, providing timely and effective communication throughout the travel planning process.
  • Liaise with clients to understand their needs and preferences, ensuring these are met and expectations are exceeded.
  • Utilize pre-created email templates and forms to send clients reminders, updates, and necessary documentation.


Supplier Communication and Negotiation:

  • Transfer supplier proposals to the Axus platform.
  • Liaise with suppliers, answer inquiries, and provide the necessary information.
  • Negotiate contracts with vendors to achieve the best possible terms and rates.
  • Obtain hotel rates and information from suppliers, including directly from hotels, Virtuoso.com, and TravelPro 365.


Operational and Financial Coordination:

  • Oversee the workflow management platform (Dubsado) to ensure smooth operation and accurate tracking of tasks and trips.
  • Automate various elements of the travel process, including form branding and client portal management.
  • Invoice payments in CB+ and maintain accurate financial records.
  • Research and follow up on outstanding commissions with suppliers.
  • Manage invoices and payments from customers and to vendors/suppliers.


Documentation and Organization:

  • Create and manage client folders using OneDrive and ClientBase (CB+).
  • Create ResCards in ClientBase and manage traveler information within Interface IDs.
  • Compile relevant information in Axus for creating detailed itineraries.
  • Attach all relevant documents to the Axus itinerary for client reference.
  • Oversee trip stages and workflows within Dubsado to ensure seamless travel planning.


Problem-Solving and Crisis Management:

  • Address and resolve any travel-related issues or emergencies, ensuring minimal disruption to clients’ plans.
  • Provide proactive solutions to potential problems and maintain a calm, professional demeanor during crises.


Continuous Improvement and Reporting:

  • Contribute to continuous improvement initiatives to enhance the quality of trips and client satisfaction.
  • Prepare and present reports on the status of each trip to senior management.


Additional Travel Coordination and Support:

  • Coordinate client concierge requests, such as arranging spa appointments, ground transfers, restaurant reservations, and purchasing timed entries to museums.
  • Gather frequent flyer numbers and Global Entry details through Dubsado
  • Confirm visa requirements and check passport expiration dates.
  • Provide contact information and final details to suppliers to ensure smooth travel arrangements.


Requirements:

Experience:

  • Minimum of 5 years of proven experience in travel coordination, program management, or a similar role in the travel or event planning industry.
  • Experience working for a Destination Management Company (DMC) and in Luxury Tourism is highly preferred.
  • Skills:
  • Highly organized with exceptional attention to detail.
  • Strong vendor management and negotiation skills.
  • Excellent problem-solving and decision-making abilities.
  • Strong interpersonal and communication skills, with a customer service orientation.
  • Proficient in using various productivity tools such as Microsoft Office Suite (Outlook, Word, Excel), spreadsheets, and project management tools such as Asana.
  • Demonstrated ability to handle confidential and sensitive information with professionalism and discretion.
  • Self-motivated and proactive, able to work independently and as part of a team.
  • Proficiency with CRM tools such as AXUS, Dubsado, SABRE, and ClientBase is a plus.


Additional Requirements:

  • Strong, reliable internet connection.
  • Advanced level of English. (C2)
  • Ability to work remotely and manage time effectively.
  • Preferred: A bachelor´s degree in Tourism, Hospitality, or a related field.



This role is 100% Remote. Paid in USD. Full-Time. Opportunities for advancement with this company!


Compensation: Negotiable based on experience.
