Job Overview: 

Are you a detail-oriented and organized professional with robust administrative and project management skills? We are actively seeking an Administrative Assistant to join our dynamic team! This remote position plays a vital support role dedicated to assisting US business owners in filing essential government documents and managing administrative tasks for small businesses.

As an Administrative Assistant, you will play a key role in document management, email organization, and handling various administrative responsibilities. Your duties will also encompass data collection from small business owners, document preparation, and providing crucial administrative support to the team. Data Collection:

  • Assist in collecting necessary details from small business owners for government filings.
  • Ensure accuracy and completeness of information gathered.

Document Preparation and Filing:

  • Fill out the required forms accurately based on the collected information.
  • Submit completed forms to the US Government within specified deadlines.
  • Track and manage filing deadlines to avoid potential fines.

Project Management and Communication :

  • Maintain effective written communication with customers, addressing inquiries and providing necessary guidance.
  • Utilize tools like Notion, ClickUp, or similar platforms to organize and streamline customer follow-up processes.
  • Collaborate with the team to define and optimize the overall process for document collection, preparation, and submission.
  • implement efficient workflows using project management tools.

Calendar and Email Management:

  • Efficiently schedule and manage appointments, meetings, and conference calls for team members.
  • Monitor and respond to emails promptly, filtering and prioritizing messages as needed.
  • Coordinate internal and external communications effectively.

Document Management:

  • Organize and maintain digital files, ensuring easy retrieval and accessibility.
  • Assist in the creation, editing, and proofreading of various documents related to government filings.

Administrative Support:

  • Provide general administrative support to team members and management.
  • Handle ad-hoc tasks and projects as assigned.
  • Act as a central point of contact for administrative inquiries.


  • Superb attention to detail is a non-negotiable requirement.
  • 2-3 years of prior experience as an administrative assistant or project manager.
  • Legal background is a plus but not mandatory.
  • Advanced English language skills with exceptional written communication abilities.
  • Proficiency in managing multiple legal documents and following up promptly with deadlines. 
  • Ability to maintain confidentiality and handle sensitive information discreetly.
  • Strong interpersonal and problem-solving skills.
  • Tech-savvy and proficient in using digital tools, including project management tools like Notion, ClickUp, and Asana.
  • Ability to work both independently and collaboratively as part of a remote team.
  • Must have a stable internet connection, laptop, or desktop computer.

This position is Full-Time (40 hours per week) 100% remote from home. 

Compensation: Negotiable based on experience. Opportunity to grow over time.
