Key Responsibilities:
- Client Communication: Manage incoming phone calls and emails, providing outstanding customer service and professional communication.
- Legal Administrative Support: Assist with legal secretary duties, including preparing, drafting, proofreading and formatting legal documents, correspondence, and reports, managing calendars, scheduling meetings, and assisting with billing and accounting functions.
- Documentation and Records Management: Maintain and organize records and documentation using Microsoft Word, Excel, and Dropbox.
- Client Care Coordination: Serve as a point of contact for clients, managing expectations and providing updates to ensure a high level of client satisfaction.
- Communication Tools Management: Use Google Voice and other tools to handle calls, schedule appointments, and coordinate with clients and team members effectively.
- General Administrative Duties: Perform tasks such as data entry, calendar management, appointment scheduling, and follow-up as needed.
- Marketing Duties: Create PowerPoint and other graphics to market the firm and other businesses, assist with preparation of presentation materials, and coordinate attendance at conferences and other marketing events.
- Personal Assistant Duties: Provide personal assistance to the firms executives such as coordination of personal or household appointments, managing rental real estate and handling other non-firm related business calls and emails, such as intake of customer service calls for other businesses.
- Confidentiality: Maintain confidentiality and handle sensitive information with the utmost discretion.
Qualifications:
Proven experience in a virtual assistant, administrative assistant, or similar role, ideally in a legal or professional services setting.
Strong proficiency in Microsoft Word, Excel, PowerPoint, Dropbox, and Google Voice.
Exceptional organizational skills, with the ability to prioritize and manage multiple tasks effectively.
Excellent written and verbal communication abilities.
High level of professionalism, attention to detail, and ability to solve problems independently.
Capacity to work independently in a remote environment while maintaining confidentiality.
Full proficiency in English and Spanish.
