We are seeking a proactive and detail-oriented Administrative Assistant to join our team. The successful candidate will be responsible for providing administrative support to ensure efficient company operations.
Responsibilities
- Your primary duty will be to provide exceptional support to the CEO, by addressing day-to-day administrative needs and resolving issues promptly
- Manage incoming emails and route to the appropriate person or department
- Organize and schedule meetings and appointments
- Managing all locations business licenses and other legal requirements
- Act as a liaison with our bookkeeper and CPA
- Coordinating birthday and anniversary gifts for staff
- Coordinating projects by tracking progress and deadlines
- Transcribing meeting minutes and other relevant information
- Provide general administrative and clerical support, including writing and editing documents, drafting emails, and organizing files with accuracy and efficiency
- Coordinate and book travel arrangements and accommodations
- Assist in planning and organizing company events or meetings
- Perform data entry and maintain electronic filing systems
- Handle sensitive and confidential information with integrity and professionalism
- Other administrative tasks as assigned
Requirements
- Proven experience as an administrative assistant or relevant role
- Independently driven self-starter with a high sense of ownership over your work
- Having the ability to anticipate the CEO's needs and help him regain his time to focus on other projects and company growth
- Open to giving and receiving constructive criticism with a focus on mutual professional growth
- Proficient in Google Workspace (Gmail, calendar, drive, docs, sheets, etc.)
- Excellent time management and organizational skills
- Strong written and verbal communication abilities
- Ability to multitask and prioritize tasks effectively
- Attention to detail and problem-solving skills
- High school diploma or equivalent; additional qualification as an Administrative assistant or Secretary will be a plus
- Fluent in English (reading, writing and speaking) with excellent grammar and communication skills
- Strong people skills with a focus on professionalism and empathy
